Marketing Events Coordinator
Primary Function of Position:
Responsible for the end-to-end organization of European marketing events and trade shows.
Roles and Responsibilities:
- Plan and coordinate marketing events and programs (in-person, virtual and hybrid) for the European Marketing Team
- Liaise with internal and external stakeholders to ensure smooth preparation, execution and follow-up of events
- Act as primary point of contact for all event-related logistics (booking forms, sponsorship contracts, communication, project planning)
- Support mobile system reservation, delivery and pick-up with transportation partners
- Create and manage vendors and Purchase Orders (POs), and follow up on invoices
- Ensure compliance requirements are met, including sponsorship agreement, HCP contracts and travel coordination
- Track and manage budgets for each event, providing regular updates
- Submit and or create Marcom asset requests and follow up on delivery
- Collaborate with stakeholders to update the Sales and Marketing Calendar on Salesforce.com
- Leverage digital and AI-powered tools to optimize event processes, reporting, and content activation
Required Knowledge, Skills, and Experience:
- Minimum of 3 years’ experience in congress and event organization, preferably in the medical industry (pharma or medical device)
- Bachelor’s degree or equivalent experience in marketing, event management, communication
- Fluent in English and French; additional languages are a plus
- Strong project management skills with ability to prioritize and manage multiple tasks in a high-pace environment
- Excellent interpersonal and cross-functional collaboration skills
- Vendor negotiation experience preferred
- High attention to detail and reliability
- Strong knowledge of MS Office tools, with advanced Excel skills (data tracking, reporting, dashboards, analysis)
- Comfortable using AI-powered tools to enhance productivity, content development, and operational efficiency
- Experience working in an international / US-based organization is a plus
- Willingness to travel (up to 30%)
